Implementing ICA-AtoM in public archives

Case Study

L’Hospitalet de Llobregat City Council

The Municipal Archive is responsible for the design, administration, updating, and improvement of the document management system of the l’Hospitalet City Council, in collaboration with the municipal body responsible for planning and administrative organization. Its main role is to collect, preserve, organize, and provide access to the documents produced by the City Council because of its activities. These documents serve various purposes, including administrative management, information, research, and culture.

Objective of the implementation

The Municipal Archive required the use of archival software for managing its municipal and private collections. After analyzing the needs, it was decided to implement the ICA-AtoM solution.

ICA-AtoM is an archival description program designed by and for archivists, specifically tailored for dissemination purposes. It is an open-source archival description software designed in accordance with international description standards, such as ISAD(G), ISAAR (CPF), ISDIAH, ISDF, RAD, and others, as well as multilevel description standards.

Results

The application has been implemented and already contains a significant volume of information that is gradually increasing. It features an internal back office that enables proper structuring of documents, according to the classification chart. Additionally, it has a front office or public-facing section that allows the information generated in the Municipal Archives to be made available to the public.
